How to Beat ATS in 2026: The Complete Guide
How applicant tracking systems really read your resume, 7 rules to pass any ATS, and a pre-apply checklist. Free ATS score check included.
An applicant tracking system (ATS) is the software companies use to collect, store and search job applications. Workday, Greenhouse, Lever, iCIMS, Taleo and SmartRecruiters are the big names. If you have applied online in the last ten years, your resume went through one.
The good news: beating ATS is not about tricks. It is about being easy to read for a machine and convincing for a human. This guide shows exactly how.
What is ATS and why so many resumes fail
You will often read that "75% of resumes are never seen by a human". That number traces back to a 2012 marketing claim from a company selling resume services, and nobody has published the data behind it. We won't repeat it as fact.
What is true is less dramatic but more useful:
- Recruiters search, they don't read everything. A popular role can get hundreds of applicants. Recruiters filter by job title, location and skills, then read the top of the list.
- Parsing errors are real. When a resume uses tables, columns or text boxes, the ATS may put your job titles in the wrong field or drop whole sections.
- Missing keywords hide you. If the ad says "stakeholder management" and your resume says "worked with different teams", a keyword search won't find you.
So a resume "fails ATS" when it either parses badly or doesn't contain the words the recruiter searches for.
How ATS actually parses your resume
Think of the parser as a reader that goes top to bottom, left to right, and tries to sort text into boxes: name, contact, job titles, employers, dates, education, skills.
Here is the simplified flow:
- Text extraction. The file is turned into plain text. Images, icons and charts disappear. Text inside graphics is lost.
- Section detection. The parser looks for familiar headings like Experience, Education and Skills.
- Field mapping. Lines under Experience are split into title, company and dates.
- Indexing. The words are stored so recruiters can search them.
Two-column layouts break step 1: the parser reads across both columns, mixing your skills into your job history. That is why we recommend a single column for anything you submit through a portal.
Warning: Never put your name or contact details in the header or footer area of a Word file. Several parsers skip those zones entirely.
7 rules to beat any ATS
1. Use standard headings
Write "Experience", "Education", "Skills". Not "Where I've Made Magic" or "My Journey". Parsers match headings against a known list.
2. No tables, text boxes or graphics
Skill bars, star ratings and icons mean nothing to a parser. Write "Advanced Excel" instead of five filled dots.
3. Mirror keywords from the job ad
Read the ad and highlight hard skills, tools, certifications and the exact job title. Use the same wording where it is true for you. If they say "customer success", don't only say "client care".
Tip: Paste the ad and your resume into our free ATS resume checker to see which keywords are missing in seconds.
4. Quantify achievements — but don't invent numbers
"Reduced invoice processing time from 5 days to 2" beats "improved processes". If you don't know the exact number, estimate honestly or describe scale (team size, budget, customers). Our guide on adding numbers to your resume without metrics shows how.
5. Use both acronyms and full forms
Write "Amazon Web Services (AWS)" and "Search Engine Optimisation (SEO)" at least once. Recruiters search both ways.
6. Keep formatting simple
One column, standard fonts (Arial, Calibri, Georgia, Helvetica), 10–12 pt body text, consistent dates (e.g. "03/2022 – 06/2024"), simple bullet points.
7. Tailor for each job
A generic resume matches nothing well. Adjust your summary, top skills and the first bullets of your latest role for every application.
ATS checklist before you apply
Run through this list for every application:
- File is a text-based PDF or DOCX (you can select the text with your cursor)
- Single column, no tables or text boxes
- Standard section headings
- Exact job title from the ad appears at least once (if true)
- Top 8–10 hard skills from the ad appear naturally
- Acronyms and full forms both present
- Every bullet starts with an action verb — see our list of resume action verbs
- Dates and locations in a consistent format
- File name like "Firstname-Lastname-Resume.pdf"

Frequently asked questions
What ATS score is good?
Aim for a keyword match of roughly 70–80% against the job ad. Above that you risk sounding copy-pasted; below 50% you are probably missing core skills the recruiter filters for.
Can a Canva resume pass ATS?
Some can, many cannot. Designs built from text boxes, icons and multi-column grids often come out scrambled or empty after parsing. Test the exported PDF before you send it.
Does ATS automatically reject resumes?
Most systems do not auto-reject on keywords alone. They rank and filter, and recruiters search the database by keyword. A resume that parses badly or lacks the right terms simply never shows up in those searches.
Is PDF or DOCX better for ATS?
Modern ATS handle both. A text-based PDF from a simple template is safe. Use DOCX if the job ad asks for it.
How often should I tailor my resume?
For every application you care about. Ten minutes of keyword tailoring usually does more than another hour of design work.
